What are Action Plans

Action plans are a way to automate regular office activities such as sending e-mails, and assigning user tasks.

An action plan can be created to automate tasks pertaining to Properties, Contacts, or Users within your PropTrackr System.

This article will serve to provide an understanding of how Action Plans work.

Stock Action Plans are pre-created plans that can be used within your PropTrackr account. The plans are located under Admin >> Action Plans, on the 'Stock Action Plan Templates' tab.

In addition to stock Action Plans, you have the ability to create your own customized action plans.

These will be located on the “Custom Action Plan Templates Tab”.

Each of these Action Plans will perform a number of actions at pre-scheduled times. To get more details on an Action Plan, right-click on it and select 'View Action Plan'. This will open a window entitled 'Action Plan Actions List' that provides information on each action included in the plan.

To better explain how action plans work I will use an example. This is the "Action Plan Actions List" of a custom plan I have created:

This is a relatively simple Action Plan. But will serve well for an example.

As you can see this window shows each action included within the plan. It will display the action name, type, description, and how many days out the action will be performed.

In the example the first action is “Send Homeowner an E-mail”. This e-mail is scheduled to be performed two days out. This means that two days after the action plan is assigned to a property the homeowner associated with that property will receive an e-mail.

The content of the e-mail is defined in “Action template” By right-clicking on the plan and selecting "Edit Action Template” we can check the emails contents.

As you can see this email contains macros (e.g. [contact_first_name]). When the e-mail is sent these will be replaced with the corresponding property & contact information.

The next action in this plan is to have a user call the homeowner. This action sets a user task five days after the plan has been assigned. The last action in this plan will send an e-mail to all contacts associated with the assigned property eight days after the plan is applied.

This plan, being that was created as a property plan type, can be applied to any property at any time (User and Contact plans can be applied to any user or contact respectively.)

Action Plans have a large scope of capabilities, and can be custom tailored to serve your needs.

I'm wondering why every new action we create is required to have an action template.  What is the purpose of this action template?

The action templates are what will become the content of the task or e-mail that the plan sends/creates.

If you were to create an action that would send an e-email, without using a template, then the e-mail would be blank.
